A Zoom Room is a physical room at AU that is equipped with microphones and cameras so it can work with the video conferencing system Zoom. Zoom Rooms work almost in the same way as a regular Zoom meeting, but it takes a little extra to make the room work. In addition to the physical room, the system can still accommodate a large number of students online and the features you know from Zoom that can support your teaching, including chat feature, screen sharing, file sharing, recording and live voting also work.
You can create a virtual room for, among other things teaching sessions, meetings, group work or tutoring sessions. You can set up the meeting well in advance and share the link with the students in good time. Make use of the feature ‘waiting room’, in connection with exams, to ensure that students can only access the meeting room when you let them in.
To ensure that students can ask questions during the virtual meeting, you can enable the “Chat”. This is a separate channel that allows students to ask questions to you or each other.
To facilitate better interaction among the students, Zoom offers the feature Breakout Rooms. As the name implies these are separate smaller rooms that allow you to subdivide the students into smaller groups with a private room. Breakout rooms are easy to set up, since Zoom allows you to send students into groups automatically, or if relevant you can assign individual students to a certain room. The rooms can be set to close automatically after a certain amount of time or you can manually close the rooms, after which the students will be sent back into the common meeting room. You as the teacher are free to move in between these breakout rooms and join individual groups.
You can conduct a poll directly in Zoom, which will pop up on each student's screen when you activate it. That way, you can ask for feedback from the students, their comprehension of a particular topic, or hear their opinion.
You can share the content of your screen with students during your presentation, e.g. if you are reviewing academic content. You have full control over what you want to share and can show individual programs e.g. PowerPoint rather than your entire screen. Zoom.us also has a built-in digital whiteboard that you can use during the meeting itself and download as an image file for subsequent use.
If you are conducting a meeting with many participants, Zoom allows you to enable or disable (“Mute”) individual microphones. When you are giving a presentation it will be an advantage to avoid the noise from active microphones. When a student is giving a presentation you can enable that students microphone and allow them to share their screen.
You can record the entire session as a video file on your computer and share it with your students afterward. Be aware that you must inform the students of this recording, since they will be present in the video file afterward. This also makes it possible for you to record an academical presentation at your leisure without participants if no interaction is necessary, and sharing this as course material. This is only recommended for shorter academical presentations, that is used in subsequent teaching or group work.
We recommend that you at least review the first two guides before entering a Zoom Room or that you complete them while you are there. It is also a good idea to try out a Zoom Room together with one or a few coworkers so that everyone can see how the room works and get a sense of what it would be like to teach in the room.
This guide shows you what to expect in a Zoom Room and what to do when you enter the room.
